Terms of Use
Last updated October 11, 2026
These terms are the agreement between you and CropCoach (“we”, “us”, “our”), the business that runs the CropCoach website at mycropcoach.com. They explain what CropCoach is, what it isn’t, and what we each expect of the other. We have kept them as plain as we can.
1. Agreeing to these terms
By creating an account or using CropCoach, you agree to these terms. They are a binding agreement between you and us. Our Disclaimer forms part of these terms, and our Privacy Policy explains how we handle your information.
If you don’t agree to these terms, please don’t use CropCoach.
2. Who can use CropCoach
CropCoach is for adults in the United States. You may use it only if:
- you are 18 or older;
- you are in the United States;
- you are not barred from using it under the law that applies to you; and
- we have not previously disabled an account of yours for breaking these terms.
If you use CropCoach for a farm, business or other organization, you confirm that you are allowed to accept these terms for it and to bind it to them, and “you” in these terms includes that organization as well as you.
3. What CropCoach is, and what it is not
CropCoach is a free website that answers questions about US federal crop insurance. It answers only from the official USDA crop insurance handbooks it has loaded, which are published by USDA’s Risk Management Agency (RMA) and the Federal Crop Insurance Corporation (FCIC). Each answer shows the handbook and section it came from. If the handbooks don’t cover a question, CropCoach says so rather than guessing.
CropCoach gives general information, not advice. Nothing it says is insurance, legal, tax or financial advice. It cannot see your policy, your acres or your claim, so it cannot tell you how the rules apply to you. CropCoach is not an insurance agent or an approved insurance provider, does not sell or service insurance, and using it does not create any professional relationship between us. Your policy, the official handbooks, and the decisions of your approved insurance provider and RMA are what count.
CropCoach is not affiliated with, endorsed by or acting for USDA, RMA or FCIC. It is an independent tool that reads their public documents.
The Disclaimer sets this out in full and forms part of these terms.
4. Answers can be wrong
CropCoach’s answers are written by an AI model from passages in the handbooks. An answer can be wrong, incomplete or out of date, even when it cites a source. The model can misread a passage or leave out a condition that matters to you, and the handbooks themselves change from one crop year to the next.
Before you act on an answer, check it against the cited handbook and confirm it with your crop insurance agent or approved insurance provider. This matters most for deadlines, what is covered, and anything to do with a claim, where a mistake can cost you coverage or a payment. You are responsible for the decisions you make.
5. Your account
You need an account to ask questions. When you sign up you give us your name, email address, a password and where you farm, and you confirm your email address with a code we send you. By creating an account, you agree that:
- the information you give us is accurate, and you will keep it up to date;
- the account is for you alone: one person per account, not shared;
- you will keep your password private, and tell us straight away if you think someone else has used your account;
- you are responsible for what happens on your account, unless it happens because of our failure to protect it.
To report unauthorized use, email support@mycropcoach.com.
6. Emails and electronic notices
By creating an account, you agree that we may send emails to the address on your account about your account and the service: for example verification codes, security notices, replies to your messages, and notices about changes to these terms or to CropCoach. These emails are part of running your account, so they continue for as long as it is open.
You agree that agreements, notices and other communications we give you electronically, by email or on this website, satisfy any legal requirement that they be in writing. A notice we email you counts as given when we send it to the address on your account, so please keep that address current. To give us notice, email support@mycropcoach.com.
7. Your privacy
Our Privacy Policy explains what information we collect when you use CropCoach, how we use it, who we share it with, how long we keep it, and the choices you have. Please read it alongside these terms.
8. Using CropCoach fairly
CropCoach is free for everyone, so please use it the way it is meant to be used. Don’t:
- scrape CropCoach, or send it questions with bots, scripts or other automated tools;
- try to reach other people’s accounts or data, or get around or test our security;
- overload CropCoach or do anything that gets in the way of others using it;
- try to make CropCoach ignore its instructions or produce content outside its purpose;
- copy, decompile or reverse engineer the software, except where the law allows it;
- resell CropCoach or its answers, or copy answers in bulk to build another product or dataset;
- use CropCoach for anything unlawful, or to mislead or defraud anyone;
- pretend to be someone else, or misrepresent your connection to anyone, including USDA, RMA, FCIC or an insurance provider;
- upload or send anything harmful, such as malware, or anything that infringes someone else’s rights.
9. What you put in
The questions you ask are yours. Please don’t include sensitive personal information in them, such as Social Security numbers, policy numbers or bank details. CropCoach doesn’t need them to answer, and you shouldn’t share them with any online tool. You are responsible for what you enter, and you confirm you have the right to share it.
You let us store and process your questions, and the answers to them, so we can run CropCoach: to answer you, and to keep your conversations so you can come back to them. You can rename or delete conversations, and clear your history, in Settings.
You also let our staff review the questions people ask and how the answers were rated (not the answers themselves), so we can see where the handbook set has gaps, keep CropCoach working properly and improve it. The Privacy Policy explains what we collect, who sees it and how long we keep it.
10. Feedback
We welcome suggestions, ratings and other feedback about CropCoach. If you send us any, you agree that we may use it in any way, for example to improve CropCoach, without paying you or owing you anything for it. You don’t have to send feedback, and we don’t have to act on it.
11. What belongs to us
The CropCoach software, its design, and the CropCoach name and logo belong to us. As long as you follow these terms, we give you a personal, non-exclusive, non-transferable right to use CropCoach for its intended purpose. These terms don’t give you any other right to use our software, name or logo.
The handbooks are public USDA documents and belong to their publishers, not to us. You are welcome to print or save the answers you get for your own use, for example to keep with your records or take to your agent.
12. Third-party services and content
CropCoach relies on other companies to run: for example, hosting and database providers, an email delivery service, and an AI service provider whose model writes the answers from the handbook passages. Your questions are processed by these providers as needed to run CropCoach, as the Privacy Policy explains. We choose them with care, but we don’t control them, and an outage or change on their side can affect CropCoach.
The handbooks are third-party public documents published by RMA and FCIC. We don’t write or control them, and they can be updated, corrected or replaced at any time; there may be a delay before a new version is loaded into CropCoach. The official version published by RMA is the one that counts.
CropCoach may link to other websites, such as RMA’s. We are not responsible for the content, availability or practices of websites we don’t run, and a link is not an endorsement. Your use of them is governed by their own terms.
13. Changes to CropCoach
CropCoach is free. If we ever decide to charge for any part of it, we will tell you first, and you will not be charged unless you agree.
We may add, change, suspend or stop features, or CropCoach as a whole, at any time, for example to improve it, update the handbook set, or keep it secure. We will try to give notice of major changes, and of any decision to close CropCoach altogether, but we can’t always promise to.
14. Closing your account
You can stop using CropCoach at any time. To have your account and its data deleted, email support@mycropcoach.com from the address on your account. Deleting conversations or clearing your history in Settings removes those conversations but does not close your account.
15. Suspension and termination by us
We may suspend, restrict or disable your account, or your access to CropCoach, if:
- you break these terms;
- we reasonably believe your account is being used in a way that could harm CropCoach, other users or anyone else; or
- we have to because of the law, a court or a government authority.
Where it is practical and lawful, we will tell you by email before or when we act, explain why, and give you a chance to put things right. We may not give notice where doing so would put CropCoach, its users or anyone else at risk. If you think we have made a mistake, email support@mycropcoach.com. Please don’t open a new account to get around a suspension.
When your account is closed or disabled, by you or by us, your right to use CropCoach ends, and we handle the data in your account as the Privacy Policy describes. The sections that by their nature should continue still apply afterwards, including section 9, section 10, section 11 and section 16 through section 22.
16. No warranties
We work hard to make CropCoach accurate and reliable, but we can’t guarantee it. To the fullest extent the law allows:
CROPCOACH IS PROVIDED “AS IS” AND “AS AVAILABLE”, WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING ANY WARRANTY OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, ACCURACY OR NON-INFRINGEMENT. WE DO NOT PROMISE THAT CROPCOACH WILL BE AVAILABLE, UNINTERRUPTED, SECURE OR ERROR-FREE, OR THAT ANY ANSWER WILL BE CORRECT, COMPLETE OR CURRENT.
17. Limits on our liability
To the fullest extent the law allows, the following limits apply to us and to the people who own, work for and provide services to CropCoach:
- we are not liable for any indirect, incidental, special, consequential or punitive loss, or for lost profits, revenue, crops, coverage, payments or data, even if we were told such a loss was possible;
- we are not liable for decisions about coverage, claims, planting, reporting or deadlines that you or anyone else makes based on a CropCoach answer;
- we are not liable for delays or failures caused by events beyond our reasonable control (see section 22);
- our total liability to you for anything arising from these terms or CropCoach is limited to US$100.
Some states don’t allow certain warranties or liabilities to be excluded or limited. Where that is the case, these limits apply only as far as the law permits.
18. Claims caused by your misuse
If someone else brings a claim against us because you broke these terms, misused CropCoach, or broke the law or someone else’s rights while using it, you agree to cover our reasonable losses and costs from that claim, including reasonable legal fees. This doesn’t apply to the extent the claim was caused by our own fault. We will tell you promptly about any such claim and let you take part in responding to it.
19. Resolving disputes
If you have a problem with CropCoach, please talk to us first. Email support@mycropcoach.com with your name, the email address on your account, and a short description of the problem and what you would like us to do. We will try to resolve it with you informally. If we have a dispute with you, we will do the same by emailing the address on your account.
If a dispute isn’t resolved within 30 days of that email, either of us may take it further as set out in section 20. These terms do not require arbitration.
To the extent the law allows, any claim arising from these terms or CropCoach must be brought within one year after it arises. Otherwise, it is permanently barred.
20. Governing law and courts
These terms, and any dispute about them or CropCoach, are governed by the laws of the state where CropCoach is based and the federal laws of the United States, without regard to conflict-of-law rules.
Any dispute that is not resolved informally will be decided by the state and federal courts that serve the state where CropCoach is based, and you and we agree to those courts’ jurisdiction. Either of us may instead bring an individual claim in a small claims court that has jurisdiction over it. If the law where you live gives you the right to bring a claim in your local courts, or to rely on that law’s consumer protections, nothing in this section takes that right away.
21. Changes to these terms
We may update these terms from time to time, for example when CropCoach changes or the law requires it. When we do, we will change the date at the top of this page. If a change is significant, we will also email account holders before it takes effect. If you keep using CropCoach after a change takes effect, you accept the updated terms; if you don’t agree, please stop using CropCoach and close your account. A change does not apply to a dispute that arose before it took effect.
22. General
- Entire agreement. These terms, the Privacy Policy and the Disclaimer are the whole agreement between you and us about CropCoach, and replace any earlier understanding about it.
- Severability. If a court finds any part of these terms unenforceable, that part is changed only as much as needed to make it enforceable, and the rest stays in effect.
- No waiver. If we don’t enforce a part of these terms straight away, we can still enforce it later.
- Assignment. We may transfer these terms to another business, for example as part of a merger, acquisition or sale of CropCoach, and will tell you if we do. You may not transfer your account or these terms to anyone else.
- Events beyond our control. We are not responsible for delays or failures caused by events beyond our reasonable control, such as outages at our providers, internet or power failures, attacks, natural disasters or government action.
- Survival. Sections that by their nature should continue after these terms end, as listed in section 15, continue to apply.
- No third-party rights. These terms are between you and us. No one else has rights under them.
- Headings. Headings are for convenience only and do not change the meaning of these terms.
- Your legal rights. Nothing in these terms limits any right you have that the law does not allow to be limited or waived, including your rights under consumer protection law.
